You’re accountable for minors, so collection isn’t optional — and right now permission slips arrive as photos of paper in a chat where they’re unfindable a week later. Gear lists scroll away. And every parent’s number is exposed to a mixed adult-and-youth group.
A form with a file answer: parents download the blank, sign, upload back. Each slip is filed against the scout, visible to leaders only, with a live list of who still owes one — and a one-tap chase message for the parents’ chat.
Scouts exist on the roster with no email and no login. Parents answer for them — both parents can, without sharing a password — and the record shows who answered. Youth accounts are never required.
The outing is an event with RSVPs and a calendar file. The gear list is a file with versions, not a message. A parent helping with one outing can be invited to just that outing — without joining the troop.
No ads, no tracking, nothing mined — in a group full of minors, that isn’t a preference, it’s a requirement. Everything exports; when a family leaves, their details can be truly erased.
The WhatsApp group is where troops live today, and it’s genuinely great for the last-minute weather call — keep it. It just can’t collect a document, hold a gear list still, or protect anyone’s phone number.
Discord is prohibited outright by many councils and charters, and the optics of a minors’ group on a gaming platform end the conversation before features matter.
Slack asks volunteer parents to make a work account for their kid’s troop, priced per head. Nobody does it twice.
