Why do important messages get lost in group chats?
The short answer: a chat has exactly one organizing axis — time. Everything that enters it, from “happy birthday” to the medical consent form, is sorted by the moment it arrived and by nothing else. Below about ten people, message volume is low enough that scrolling works as memory. Above ten, volume outruns attention, and anything not read in its first hour is effectively gone.
The mechanics of losing things
Watch what happens to a game announcement in a 25-person team chat. It’s posted at 9 AM. By 9:40 it has eleven replies — three RSVPs, a carpool question, a joke, a reaction pile. By noon, an unrelated conversation has pushed it two screens up. A parent who opens the chat that evening sees the newest thirty messages, concludes nothing important happened, and misses the game. One organizer of a hobby club described it precisely: blink, and the relevant post is seventy messages deep.
The failure isn’t anyone’s behavior. It’s that a chat gives the game announcement and the joke identical standing. Time-sorted storage cannot distinguish importance, and no amount of scrolling discipline fixes a structure problem.
Why pinning and reminders don’t fix it
The two folk remedies both fail in practice. Pinning works until there are nine pinned things, at which point the pins are a second, smaller scroll. More notifications makes it worse: when everything pings, people mute the chat, and now even the urgent things go unseen. Groups that go this route end up with members getting hundreds of alerts and finding none of them useful — the information-overload version of the same loss.
What actually fixes it
Separate the two kinds of content a group produces. Conversation is legitimately ephemeral — let it scroll. Records — the schedule, the signed form, the vote result, the file — need a home outside the timeline: a place they live, a name they keep, a way to be found in March. Practically, that means the announcement becomes an event with an RSVP list, the form becomes a collection with a who’s-still-missing list, and the file gets a folder and versions. The chat then carries links to those objects, which is what chat is good at.

The tell that your group has crossed the line
You re-post the same information more than twice. Someone asks a question that was answered yesterday. “It’s in the chat somewhere” has become a sentence people say. Each of those is the same event: the group’s memory demand exceeded what a timeline can store.
